This policy explains how Being Fit LLC (“Being Fit”, “we”, “us”) collects, uses, stores and protects personal data when you visit beingfitdubai.com, fill in our lead or free-trial form, or contact us by WhatsApp, phone, email or Instagram. We handle personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”) and other applicable UAE laws.

1. Who we are

Being Fit LLC is a personal training and lifestyle transformation business based in Downtown Dubai, Dubai, United Arab Emirates. We decide how and why your personal data is used, so we are responsible for it.

2. What personal data we collect

Lead and free-trial form: your name, phone number, email address (optional) and your message, for example your goals, preferred training location and the best time to train.
WhatsApp, phone and email: your phone number or email address, the name shown on your profile, the content of your messages and any files you send, and basic call records.
Instagram: your profile name and messages if you contact us there.
Health information you choose to share (for example an injury or medical condition): we use it only to plan safe, suitable training and treat it as sensitive personal data. Please don’t send detailed medical records through the website form; we’ll discuss anything relevant with you directly.
Technical data: when you visit the website, our website platform automatically processes standard technical information such as your IP address, browser type, the pages requested and the date and time, to deliver the site and keep it secure.

If you become a client, we’ll collect further information needed to train you safely (such as an assessment, measurements and, only with your agreement, progress photos). We’ll explain this when you start, and this policy applies to that information too.

3. Why we use your data

To reply to your enquiry and arrange your consultation or free trial session.
To provide the services you book: matching you with a coach, scheduling sessions, reminders and progress tracking.
To arrange access where you train, for example helping with your building’s approval process or a partner gym’s guest registration, with your agreement.
To understand how our website is used and improve it, through the platform’s visit statistics and Google Analytics, and to measure our adverts with the Meta Pixel (see section 8).
For billing, administration and to meet our legal and accounting obligations.
To send you offers or updates, only if you have agreed. You can opt out at any time by replying “STOP” on WhatsApp or emailing us.

We rely on your consent, on taking steps you have asked for before an agreement and performing our agreement with you, on our legal obligations, and on the other grounds permitted under the PDPL. Where we rely on consent, you can withdraw it at any time; this doesn’t affect processing that has already taken place.

4. How we store and protect your data

Form submissions are delivered to our business email inbox and may also be stored in our website’s form dashboard (Jetpack Forms on WordPress.com). WhatsApp conversations are kept in our WhatsApp Business account. Access is limited to the founder and the team members who need it to look after you, such as your assigned coach.

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, including restricting access to people who need it and using password-protected accounts. No method of transmission or storage is completely secure, but we work to protect your data and will act promptly if a problem occurs.

5. Sharing your data

We do not sell or rent your personal data. We share it only when needed:

With your coach and team members who provide your services, who must keep it confidential.
With service providers that act on our behalf: our website host and form provider (WordPress.com, Jetpack Forms and Akismet spam filtering, all operated by Automattic Inc.), Google (analytics), Meta (advertising measurement), our email provider and WhatsApp (operated by Meta). They may only use your data to provide their services to us.
With your building management or a partner gym, only where needed to arrange your sessions and with your agreement.
With authorities or others where required by law, or to protect our rights, our clients or the public.

Some of these providers may store or process data outside the UAE. Where that happens, we rely on reputable providers with appropriate safeguards, as permitted under the PDPL.

6. How long we keep it

Enquiries that don’t lead to a booking: up to 12 months after our last contact, then deleted.
Client records: for as long as we provide services to you, and afterwards only as long as needed for legal, accounting or dispute-resolution purposes under UAE law.
Marketing consent: until you withdraw it.

7. Your rights

Subject to the conditions and exceptions in the PDPL, you can ask us to:

tell you what personal data we hold about you and give you a copy;
correct inaccurate or incomplete data;
delete your data;
restrict or stop processing, including objecting to direct marketing at any time;
transfer your data to you or another provider where technically feasible;
withdraw your consent.

To make a request, email info@beingfit.ae. We may need to confirm your identity first, and we aim to respond within 30 days. If you’re unhappy with how we’ve handled your data, please contact us first; you can also complain to the UAE Data Office.

8. Cookies

Our website is hosted on WordPress.com, operated by Automattic Inc. It uses cookies and similar technologies that are strictly necessary for the site to work and stay secure, and some of these are set by the platform itself. The platform also keeps basic visit statistics, such as page views, so we can see how the site is used.

Analytics: our website uses Google Analytics to understand how visitors find and use it, for example which pages are viewed. Google Analytics uses cookies (such as _ga). You can block these cookies in your browser settings or with Google’s opt-out browser add-on. If you have any questions, contact us at info@beingfit.ae or 0585722691.

Advertising measurement: we use the Meta Pixel to measure and improve our adverts on Instagram and Facebook, for example to see whether someone who clicked an advert later contacted us. Meta may use cookies and share this information with us in aggregated form, under Meta’s own privacy policy. You can manage ad preferences in your Meta account settings. We do not show third-party adverts on our website.

If a page shows an embedded Google Map, Google may set its own cookies under Google’s privacy policy. Links to WhatsApp and Instagram take you to services run by Meta, which have their own privacy policies.

9. Children

Our website and services are intended for adults. We don’t knowingly collect personal data from anyone under 18 without the consent of a parent or guardian. If you believe a child has given us personal data, please contact us and we’ll delete it.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed, and we’ll let clients know about significant changes.
